Choosing Your Reception Site...Tips From the Experts
You have the ring, you have the date — oh, and you have the groom — but have you reserved the reception site? As exciting as it is to look for your dream venue, selecting a reception location is one of the most time-consuming items on your checklist and should be one of the first details you nail down. With a little help from our experts, you’re sure to discover a site that is perfect for your celebration.
“Go with in with an open mind,” recommends Elizabeth Webb, director of event services for Charlotte Arrangements. “Having an open mind will allow you to see what the venue could be instead of what it is. Also, make sure to visit the sites in person.” What you see in pictures may be beautiful but may not be available or in your budget.
On-site visits are essential if you are trying to match the style, personality and vision of your event with the location. Equally important is coordinating the logistics of the site with the needs of your guests.
For instance, is your preferred location convenient to airports? Getting your guests to and from the reception easily is important — and especially critical for destination weddings. “Other considerations,” Webb says, “should be parking availability, and ease of entry to the reception site.”

If your reception is outdoors, does the location offer a rain plan, bathrooms, a generator, and related necessities?
You should also ask about any restrictions, and inquire if additional rentals (such as tables, chairs, security, cleaning, etc.) are included.
Finally, Webb advises, “Meet the people you will be working with, get to know them, and ask questions, questions, questions. Never assume anything.” ~KGM
